EXHIBITOR/VENDOR GUIDELINES

Deadline
Registration deadline is September 19, 2011
, however, spaces will be granted on a first-come first-serve basis according to those who meet requirements in the order they are received. Any applications postmarked after September 19, 2011 will not be considered, and walk-ons will not be permitted.

Location: From Ohio, take 75 south to 68 west, to 150 west. From Indiana, take 65 south, to the Bluegrass Parkway east, to 150 east.  From VA/W.VA, take 64 west to 68 west, to 150 west. From Nashville, take 65 north, to the Bluegrass Pkwy., to 150 east. 

Selection Process

Vendor/Exhibitors will be considered on a first-come, first-serve basis from those who submit complete applications. Consideration will also be given to those vendor/exhibitors who have supported us in the past and have complied with regulations.

If you have not participated in the “Battle of Perryville Commemoration” in the last few years, you must submit a description of items along with your contract. 

Applications and checks received after the allowable space has been filled, will be returned. If your application is accepted, you will be notified by mail and issued 2 vendor credentials and parking passes.  If you need additional credentials and/or passes please notify the park staff immediately.

Registration Fees
Each space will be 10’ X 8’ and include an 8’ table with two chairs. Electricity can be provided at request. The vendor/exhibitor fee is $35.00 and if electricity is needed it will be an additional $10.00. 

Payment
Please make your Vendor/Exhibitor registration check payable to the
Kentucky Department of Parks

Hours of Operation
Vendor/Exhibitors are required to check-in at the park
no sooner than12:00 noon on Friday September 31 and no later than 8:00 a.m. Saturday October 1. Instructions on where to check-in will be in your acceptance packet. Vendor/Exhibitors are required to be open for business at all times between the hours listed below, and are encouraged to be open for the re-enactors on Friday. If you are in the area and would like to set up early please email me: joan.house@ky.gov

Below are the hours vendors/exhibitors need to be open to the public for business:
 9 a.m. - 5 p.m. Saturday
 9 a.m. - 5 p.m. Sunday

Restocking Hours
Between 5:00 p.m. and 6:00 p.m. Saturday evening and Sunday morning between 8:00 and 9:00 a.m.
After 9:00 a.m. Saturday - NO items may be removed by vendors unless during listed restocking hours.

Maintenance
Vendor/Exhibitors are responsible for maintaining all garbage in a discreet, neat and organized manner until picked up by park maintenance throughout the day. Trash bags are available upon request. All trash should be bagged and left in a designated area before leaving the site.

Expectations of Goods
The following goods are acceptable: Civil War Era antiques; Victorian Era antiques, antique books or books pertaining to military as well as military antiques up to and including the Vietnam Era (1975) period and Civil War art should be sold and exhibited in this event. Only black powder guns are allowed. No modern firearms. No other items are to be sold unless special permission is given by the event coordinator. Also, please do not plan on selling any food or beverages in the Vendor/Exhibitor area.

Enforcement of Expectations
In fairness to those who do comply, inspections for compliance to the above criteria will be conducted throughout the event. Failure to conform to requests made by the Vendor/Exhibitor coordinator will result in you being asked to leave the event immediately without reimbursement of your fee. Please help us avoid any such incidents by reading these guidelines carefully.

Taxes
You will be responsible for collection of Kentucky Sales Tax, as well as any other business taxes imposed by local government. Expect an official from the Kentucky Revenue Cabinet to visit you.

Parking
Due to space limitations as well as in keeping with the atmosphere of the time period, no motorized vehicles will be permitted in public areas between 8:00 a.m. Saturday until 5 p.m. Sunday except during specified re-stocking hours. At this time Vendor/Exhibitors will have the opportunity to drive supplies to their areas.

Two parking passes will be sent to each Vendor/Exhibitor which will be required to enter your specified parking lot as well as to enter the park for set-up. Your camper/trailers are welcome in the Vendor/Exhibitor lot, but no hook-ups will be available, and no exterior accessories (grills, fire pits, chairs, canopies, etc.) will be allowed. Porta-lets will be available in your parking area for your convenience.

Vendor/Exhibitor Contract and Application
In order to sell your wares on park property, you must sign and return the enclosed agreement and application with the set-up fee. This agreement is required by the Kentucky Department of Parks.
